Overview
We are looking for an individual to take on the role of coordinator & administrative secretary. The role will require the individual to be part of the day-to-day proceedings of the organization and to identify the long-term path for the membership – both tactical and strategic decisions. The individual must be willing to learn about such formal organizations from international, national, and local perspectives to incorporate global best practices within the institution including education, informational campaigns and drives, media presence, building a narrative among others. The role will require the individual to be part of one or more sub-committees within the organization in addition to being the full-time administrative secretary.
Responsibilities:
Membership Management and Support:
Maintain a current list of the organization's members, including contact information and relevant details.
Process new member applications and ensure that members are in good standing.
Address member inquiries and concerns, providing information and assistance when needed.
Advocacy:
Represent the organization in various capacities, such as in meetings with employers, at labor board hearings, and in other forums where the organization's voice is needed.
Assist in the administration of contracts and collective bargaining agreements and address member concerns related to such matters.
Work with government departments and organize a database with relevant information from all the members to identify additional benefit plans and set up the programs for the organization.
Communication and Coordination:
Assist in establishing and maintaining relationships with community partners, educators, and other stakeholders.
Facilitate communication between the members, leaders, and external parties.
Distribute relevant information to members, such as meeting notices, updates, and announcements.
Coordinate and plan meetings by notifying members, preparing agendas, and ensuring the availability of necessary materials. Additionally, organize workshops and discussion sessions focused to advocate for the women in the organization.
Work closely with the steering committee and assist in establishing processes and protocols to ensure the continued functioning of the organization.
Collaborate with the steering committee to establish support systems within major neighborhoods of the city.
Record-Keeping and Financial Oversight:
Maintain accurate and up-to-date records of activities, meetings, and membership.
Keep track of important documents such as the organization constitution, bylaws, and meeting minutes.
Assist in managing the organization's financial records, including budgets, expenses, and financial reports. Additionally, they are accountable for overseeing the execution of bills and resolutions.
Legal Compliance:
Stay informed about labor laws and regulations to ensure the organization's activities are in compliance.
Work with legal advisors as needed to address legal matters affecting the organization.
Requirements:
Masters in Sociology, Social Work, Human Rights, History, or other related humanities background. Or ability to establish and expertise with formal organization and community organizing efforts.
Proficient in reading, writing, and speaking in Tamil and English.
At least 2 years of working experience within the Development sector and especially community organization and development.
Willingness to travel within the city as and when required to meet with the membership or attend meetings with elected representatives, bureaucrats, and others.
Interested in furthering the cause of our all-women formal organization by self-study and other opportunities provided by ECTE.
Strong organizational skills and attention to detail.
Comfortable working with diverse populations from all socio-economic backgrounds to strengthen the organization.
Proficiency in Microsoft Office and/or Google Suite.
Compensation and Benefits:
Compensation for the role is set at Rs. 25,000/month.
Leave (Paid Time Off) and other benefits will be discussed after the candidate is selected.
Work location will be in Chennai, but the individual must be required to take on regular local commute that will be reimbursed by ECTE.
